Settings


In the application settings, you can select units of measurement, mao, algorithm for planning routes, notifications, create warehouses, custom fields for orders and so on. 

To go to the Settings page, open the user menu by clicking on the username in the navigation bar and select Settings. 

General

In this tab you can select the resource, units of measurement, configure the map and the order parameters which should be displayed in the order window by default. 

The resource chosen here is the one where orders are created. By default, the resource created by the user is selected. If there is no such resource — the first one in the list of available.

Resource - in this section, you can select the resource in which orders should be created. By default, the resource created by the end user is used, if there is no such resource, the first in the list of available ones is used. 

Address Information - this section contains settings related to the map and address information search. By choosing address provider (Gurtam, Google) you define a source of address information which is used upon manual order creation, import, or warehouse creation. Enable autozoom if you want the map to change the focus and scale when you click on the order during planning. If Gurtam maps are selected as address provider, in the fields that appear below, it is possible to specify the country and city within which the search is performed.

By default, the Grouping icons option is enabled, that is, overlapping icons are replaced by an icon with a numerical indicator.

Order Parameters - the parameters specified in this seaction are used as default values when creating and importing orders.

  1. Delivery interval beginning - the start time of the delivery interval
  2. Delivery interval end - the end time of the delivery interval
  3. Advance time - the time before the planned arrival within which the driver can visit the order. If the order is visited before the advance time, it is not considered visited.
  4. Service time - the approximate time of unloading goods. It is taken into account when planning routes. 
  5. Radius  - the maximum distance at which the unit should approach the specified delivery point so that the point is considered visited. You can only specify a whlole number. 
  6. Weight - the total wright of goods in an order. 
  7. Volume - the total volume of goods in an order. 
  8. Route colour - the colour of the route line. Two options are available: from the units settings (corresponds to the track colour from the unit properties in Trackd) or custom (selected randomly).
  9. Strict delivery interval - the option which allows planning the route adhering to the indicated delivery intervals
  10. Service within delivery interval - the option which allows including the service time in the delivery interval. This means that the driver should not only arrive at the route point, but also attend to the client within the delivery interval. 
  11. Notification method - the method of notifcation that should be selected by default in the parameters of the orders you create and import. 
User Parameters - in this section you can select the application language and enable or disable tips about the application functions. 

Import Orders - this section displays the settings which are applied to the orders you import
  1. Date and time format - the date and time format that should be used in the orders you import. 
  2. Separator - the character which is used as a column separator in CSV files. 
Units of measurement - in this section you can specify the units of measurement used in orders. 
  1. Cost - the unit of cost measurement
  2. Volume - the unit of volume measurement
Order fulfilment requirements - in this section you can set the requirements for the fulfilments of orders
  1. Not to confirm orders outside the radius - this option allows drivers to confirm orders only within the specified radius from the place of delivery. 
  2. Not to confirm orders without a signature - this option allows drivers to confirm orders only after attaching a file with the client's signature. 
Order rejection reasons - in this section you can create order rejection reasons which should be displayed in the mobile application when rejecting an order. 

Warehouses

In this tab you can create, copy and delete warehouses. You can add a warehouse as the first, intermediate and last point on the Planning tab. 

The created warehouses are shown on the tab as cards which you can explan and collapse. The search at the top of the tab works by all the warehouse parameters and only with the collapsed cards. 


Creating a Warehouse

To create a warehouse, click Add warehouse and specify the parameters described below. If a card is collapsed, the names of most parameters are subsituted for icons.

  1. Name - the name of the warehouse
  2. Phone - the phone number for communication with the warehouse
  3. Address - the address of the warehouse
  4. Working hours - the warehouse working hours which should be taken into account when planning a route
  5. Service time - the time within which the goods are usually loaded or unloaded in the warehouse
  6. Comment - a comment on the warehouse, which is shown in the information about the warehouse after mapping a route
  7. Tags - custom keywords that you can use to sort orders on the Planning page. To add a tag, type it's text in the field and press Enter
  8. Attached geofences - the number of geofences attached to the warehouse
  9. Attached units - the number of units attached to the warehouse

Attaching a Geofence to the Warehouse

You can attach a geofence added on the same-name tab to the warehouse. At the first stage of planning, this allows you to sort orders by this geofence

To attach a geofence, follow the below steps:
  1. Click on the Attached geofences button
  2. Find and select the geofence you want to attach to the warehouse
  3. Click Move
  4. Save the changes

Attaching a Unit to the Warehouse

You can attach a unit from Trackd to the warehouse. At the second stage of planning, this allows you to sort orders by this unit

To attach a unit, follow the steps below:
  1. Click on the Attached units button
  2. Find and select the unit you want to attach to the warehouse
  3. Click Move
  4. Save the changes

Copying and Deleting Warehouse

To copy or delete a warehouse, click on the iconand select the required item in the action menu of the warehouse.

Planning

In this tab you can configure the algorithm for creating routes on the Planning routes page. Once changed, the settings are applied only to the newly created routes. 

Distribution Optimization

In this section you can specify which warehouses should be used as the initial, intermediate and final one. You can also select the service that shoud be used to map a route and adjust its settings, 

  1. Initial warehouse - the warehouse from which the courier starts the route
  2. Intermediate warehouse - the warehouse the courier should visit
  3. Final warehouse - the warehouse the courier should visit to complete the route
  4. Routing service - the selection or deactivation of the algorithm used to map a route (Google)
  5. Mode of transportation - by car, on foot or by bicycle
  6. Route parameters - with traffic or without traffic
  7. Traffic model - balanced, optimistic or pessimistic. These models are based on past and present traffic data from Google and influence the calaculation of travel time. 

Route Properties

In this section you can configure the automatic termination of routes and the sequence in which orders should be visisted. 


Automatic termination - as a result of automatic termination, a route with non-visited orders disappears from the Routes page and goes to the history. After that you can execute a report on this route. If the route has non visited single orders, their copies are saved on the Planning page. The estimated time of termination is shown in the information about the route. Two options of automatic termination are available.
  1. At certain time - the route ends at the specified time
  2. Last order + - the route ends after the time interval specified in the Time field
Sequence of visiting orders - in this section you can specify in what sequence the courier should visit the orders.
  1. Strict - the courier should visit the orders in the specified sequence
  2. Any - the courier can visit the orders in any sequence. However if the sequence is violated, the missed orders receive the Missed staus until they are visited. 
Optimization Settings - the settings in this section influence the level of expenses related to the fulfilment of routes. The section also contains the options which allow taking into account the location of the units and their attachment to geofences while planning. 
The application plans routes in such a way that they match the selected planning mode as much as possible. Three modes are available:
  1. Cost-effective - fully loaded vehicles, minimum mileage, loose adherence to delivery intervals
  2. Balanced - fully loaded vehicles, minimum mileage, strict adherence to delivery intervals
  3. Fast - reduction in delivery time due to the maximum number if units

If the Take into account the location of units option is enabled, the routes are planned taking into account the location of units at the moment of planning (if it was possible to determine their location). In addition, the created routes show the path from the unit location to the first order of the route. If the units are fulfilling other routes, then the last points of these routes are taken into account. The location of units can influence the sequence in which the orders are visited, route duration, and mileage.

If the Planning by geofences option is enabled, the orders located within a certain geofence are distributed only to the units attached to this geofence. If you select a unit and an order which are related to different geofences while planning, the order is excluded from the route and moved to the Undistributed orders section.

Route Restrictions - in this section you can configure restrictions for routes and units which fulfil them. If a route cannot be planned without exceeding a restriction, the action selected below is added to the planning algorithm. 
         
  1. Maximum distance - the maximum route length
  2. Maximum duration - the maximum route duration in minutes
  3. Maximum number of orders - the maximum number of orders in a route
  4. Maximum idling time - the maximum waiting time between the orders
  5. Carrying capacity - an option which allows taking into account the carrying capacity of a unit
  6. Volume - an option which allows taking into account the volume capacity of the unit
You can select what action the system should perform if any of the restrictions are violated. Three options are available:
  1. Exclude orders from the route - If there are more orders than can be included in the route or routes (if you select several units at the second stage of planning), the orders of a higher priority are added. The rest of the orders remain undistributed. If the priority is not specified, the system adds those orders which allow creating the optimal route (routes), taking into account its cost, mileage, and duration.
  2. Add the intermediate warehouse - If there are more orders than can be included in the route, the route is divided into parts, each of which does not violate the restrictions. 
    The route is planned as follows.
    1. A part of the orders of a higher priority
    2. The intermediate warehouse
    3. The remaining part of the orders of a lower priority
    If necessary, another visit to the warehouse is added.
  3. Create seperate routes - If there are more orders than can be included in the route, one or several routes are created taking into account the priority of the orders and their location

Geofences

If you want units to fulfil orders only within certain areas, attach the units to geofences and enable the Planning by geofences option in the settings. On the Geofences tab, you can add and delete the geofences created in the monitoring system, and attach units to them.

The tab displays the list of geofences and the map. By default, the list contains all the geofences attached to warehouses. The following items are shown above the list:

  • filter by geofence group;
  • search by geofence name;
  • button for adding geofences ()
In the list, the row of every geofence displays the number of units and warehouses attached to it. When you point to the row, the icons for attaching units and deleting the geofence are shown. Click on the row to see the selected geofence on the map. By default, the list consists of the geofences attached to warehouses.

On the map, you can see the borders of all the geofences from the list. The tooltip of the geofence shows its name, address, and the number of the attached units and warehouses. After clicking on the geofence, the icons for attaching units and deleting the geofence become available.

Adding Geofences - to add a geofence follow the below steps:
  1. If necessary, first create geofences in Trackd. For convenience, you can combine the created geofences into groups.
  2. Click Add geofences in the Geofences tab of the application settings,. If the tab already contains geofences, click on the button 
  3. Select the geofences or the group of geofences you want to add to the application
  4. Click Add
  5. Click Save to apply the changes on the tab
The added geofences are displayed in the list and on the tab and become available in the window of attaching geofences to the warehouse.
Deleting Geofences - to delete a geofence, point to its row or click on it on the map and click on the icon . Then click Save to apply the changes on the tab. 
Attaching Units - if you want to fulfil orders only within a certain geofence, you should attach it to this geofence. You should also enable the Planning by geofences option on the   Planning tab. 
 To attach a unit to a geofence, follow the below steps:
  1. Point to the row with the geofence or click on it on the map and click on the icon 
  2. Select the unit or units you want to attach to the geofence. To select all the units, use the Available option
  3. Click Move. The units which are already attached or should be attached to the geofence are displayed in the list on the right
  4. Click Attach
  5. Save the changes on the tab
You can also attach the unit to geofences in the window of editing unit properties. 

Notifications

On this tab, you can configure notifications for the client, driver, and operator. The client receives notifications by email and/or as SMS messages. The driver receives online notifications in the Logistics Mobile application. The same notifications can be duplicated for the operator.

Client and Driver Notifications
In this section, you can create the templates of client and driver notifications and configure their sending. Depending on the switcher state, the section shows the created templates of client or driver notifications.


Below are the availabe types of notificaitons:

Client Notifications

The client notifications can be sent as SMS messages and/or by email. You should indicate the phone number and email address in the order creation window. Besides, you should enable the corresponding options in the Notification method section on the General tab of the settings. 

  1. Fulfilling an order - a notification of this type is triggered when the unit enters the order radius or when the order fulfilment is confirmed manually
  2. Rejecting an order - a notification of this type is triggered when an order is rejected
  3. Time left until the delivery - a notification of this type is triggered X minutes before the estimated delivery time. Tje number of minutes is specified in the Advance notification field
  4. Orders ready to be sent - a notification of this type is triggered X minutes before the beginning of the route. The number of minutes is specified in the Advance notification field. The notification is sent to all the clients specified in the orders of the route.
  5. Order on the way - a notification of this type is triggered when the status of the previous order is indicated or at the moment of the route activation (in case it is the first point of the route).
  6. Distance to the delivery point - a notification of this type is triggered when the unit approaches an active point of the route at the distance indicated in the Advance notification field.
Driver Notifications
The driver notifications are displayed in the mobile application as push notifications
  1. Creating a route - a notification of this type is triggered after a route is created.
  2. Deleting a route - a notification of this type is triggered after a route is deleted.
  3. Changing client data - a notification of this type is triggered after changing the text in the Client section in the window of the order creation/editing (except for enabling and disabling options).
  4. Attaching files - a notification of this type is triggered after attaching files to the order in the created route. 
  5. Deleting files - a notification of this type is triggered after deleting the files attached to the order in the created route. 
  6. Changing order parameters - a notification of this type is triggered after changing the Cost and Comment fields in the window of the order creation/editing.
  7. Exceeding delivery time - a notification of this type is triggered when the time of estimated arrival is exceeded by the value indicated in the notification. 
  8. Exceeding service time - a notification of this type is triggered when the service time is exceeded by the value indicated in the notification.
  9. Deviation from a route - a notification of this type is triggered if the unit moves away from the route line exceeding the distance indicated in the notification.
  10. Missing an order - a notification of this type is triggered if the unit misses a route point.
  11. No order status - a notification of this type is triggered if, after the unit enters the order radius, the status is not specified within the time indicated in the notification.
  12. Changing a route - a notification of this type is triggered if a new order is added to the route.
  13. Visiting an order - a notification of this type is triggered if the unit stops within the order radius.
Notification template creation - to create a notification template, follow the below steps:
  1. Click New
  2. Select the notification type
  3. For the Time left until the delivery and Orders ready to be sent notifications, specify the time, for the Distance to the delivery point notification, specify the distance.
  4. Type the text for the name and contents of the email and/or SMS message using the tags which will be substituted for real values in the sent notification. Click HTML or Text to select the message view mode
  5. Save the changes

Operation Notifications
The operator can receive the same notifications as the client or driver. This means that you should create and configure notifications for the client and/or driver first
Notifications sent to the client

The notifications sent to the client can be duplicated for the operator:

·         as SMS messages;

·         as email messages.

To do this, you should enable the Duplicate notifications sent to the client option and specify the email address and/or phone number of the operator. You can specify two email addresses and two phone numbers at once.

Notifications sent to the driver
The notifications sent to the driver can be duplicated for the operator as push notifications in the application. To do this, you should enable the Show notifications sent to the driver option.

Push notifications are shown in a pop-up window in the upper-right corner of the work area for 15 seconds. After that, you can see the received notifications in the list of notifications by clicking on the icon or indicator next to the application logo.



To configure the sound for push notifications, use the Enable notification sound option. 

Custom Fields

This tab is designed to work with the custom fields which should be displayed by default in all the orders you create.

The custom fields created on this tab are displayed:

  • in the window of order creation or editing;
  • as a separate column of the order table on the Planning page;
  • as column names in the table of order import and the import template;
  • as a separate column in reports on routes and orders.

You can enter a value in the created custom field when creating or editing an order. 


Autocomplete option

The Autocomplete button is used to automatically add all the custom fields created manually in the resource earlier. This option is available if there are no created fields on the tab.

Actions with custom fields

To create a custom field, enter its name in the line and click on the icon 

If you want to change the sequence of custom fields, point to the line with the field and drag it by the icon 
 
 to the required place.

To display a custom field in orders in the mobile application, point to the line with the field and activate the switch.


To delete a custom field, point to the line with it and click on the icon .

Delivery Requirements

On this tab, you can add the delivery requirements that later become available for selection in the order parameters and in the unit properties. When planning a route, you can use only those units the requirements of which correspond to the requirements of the route orders.












To add a new requirement, specify its name in the Name field and click on the icon . To delete a requirement, point to the line with it and click on the icon . If you delete a requirement which is added to an order or a unit, then it is saved in the order or the unit until you delete it there as well.
